Position Summary:
We are seeking a friendly, professional, and organized Front Desk Representative to join our medical office team. As the first point of contact for patients, this role plays a vital part in creating a positive patient experience while ensuring efficient office operations. The Front Desk Representative is responsible for greeting patients, managing check-in and check-out processes, handling scheduling and phone calls, and supporting the clinical and administrative staff.

Key Responsibilities:
  • Greet patients and visitors in a courteous and professional manner. 
  • Register patients, verify insurance information, and update demographic details in the practice management system. 
  • Collect co-pays, balances, and provide receipts in accordance with office policies. 
  • Answer multi-line phone system, route calls, and respond to patient inquiries. 
  • Schedule, confirm, and reschedule patient appointments. 
  • Maintain confidentiality of all patient information in compliance with HIPAA regulations. 
  • Assist with patient check-out, including scheduling follow-up visits and providing necessary paperwork. 
  • Coordinate with clinical staff to ensure smooth patient flow throughout the office. 
  • Perform general administrative tasks such as filing, scanning, and data entry. 
  • Support office operations by adhering to established policies, procedures, and quality standards.

Qualifications:
  • Education: High school diploma or equivalent required; associate’s degree or medical office coursework preferred. 
  • Experience: Minimum 1–2 years of experience in a medical office, healthcare, or customer service environment preferred. Familiarity with insurance verification, medical terminology, or EMR/EHR systems is a plus.

Skills:
  • Excellent interpersonal and communication skills, both verbal and written.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and work effectively in a fast-paced environment.
  • Proficiency with Microsoft Office and electronic scheduling systems.
